Security Groups and Access Control

You can use groups to preconfigure access to certain parts of MyQ for every user that is a member of a particular group. This means it is possible to practically automate the assignment of rights, policies, and terminal actions on the Embedded Terminals, and more.

Here are some examples of how you can achieve this simplification of user management with groups.

Embedded Terminals

Assign Functions (Terminal Actions)

  1. Synchronize your users and groups as is required by your organization with the level of granularity you need.

  2. In SettingsTerminal Actions, add a new folder or specific terminal action, and configure its function.

  3. On the General tab in this terminal action, select groups that should be able to use this action on the Embedded terminal.

Example: Give your teachers what they effectively need

Your teachers existing in MyQ are in groups based on the grades they teach, e.g. 9-Teachers1, 9-Teachers2, 10-Teachers1, 10-Teachers2, etc.

You create an Easy Scan action with a destination to the SharePoint site where the teacher shares study materials with their students. This action can be made visible only to teachers in these particular groups listed above.

Similarly, an Easy Copy action can be made visible only to these teachers, preconfigured to make 50 copies, and enabled for changes, so that the teacher can tap + or - on the Embedded terminal if they happen to need more or fewer copies.

When a new teacher joins the school, they become members of these groups and instantly get access to the same level of functionality as their colleagues.

Access Control

In most organizations, almost if not all members will have an account to allow them to use some of the basic functions in MyQ, with necessary restrictions in place. This may mean they have limited rights to change settings in MyQ, or are only able to use certain devices for certain functions.

Setting up restrictions of these kinds in MyQ is straightforward and can be made even simpler by utilizing user groups. More details can be found in User Rights and User Policies.
